On Wednesday mornings, I run little experiments in my solo business. I might update a landing page or create some new types of social posts. Friday mornings are reserved for administrative work. Mondays are a rotation of writing new posts for my blog and updating older posts.

When you’re running a solo business, every aspect competes for the same hours, since you’re the only one doing the work. If you give each day of the week a theme, you know in advance what gets your attention that day.

What switching between tasks costs a solopreneur

Microsoft’s 2025 Work Trend Index found that employees are interrupted every two minutes during core work hours. Since the research looked at employees, we can presume that they have a single role (even if they have varying responsibilities). A solopreneur has many roles, like sales, marketing, accounting, and even acting as their own tech support.

In a single morning, you might answer a client email, tweak your website, post on LinkedIn, and chase an unpaid invoice. Each of those tasks needs a different skill set, and often a different mindset.

It’s much easier if you group similar tasks into one block of time. For me, this cuts down on the context-switching. Instead of jumping between “roles,” I can put on my marketing hat one day and my accounting hat another, and stay in a particular lane while knocking out a bunch of items on my to-do list.

Building a themed week of your own

I have a theme for every day of the week, with a rotation of monthly themes for Mondays. Some work (like planning my social media) doesn’t need time every week, so they show up on my calendar “every first Monday of the month.” Every day is split between the day’s theme and client work.

If you want to try this, make a list of work that needs regular attention. From there, group the tasks into four or five themes, one per workday (or a monthly rotation). The time to work on the day’s theme is blocked off on my calendar.

It also helps to match themes with your energy. If you run out of steam by the end of the week, plan the themes that require harder and more creative work for Monday or Tuesday. My admin work happens on Fridays because it doesn’t require a ton of focus.

Adjusting the theme when the week changes

Of course, a client deadline or a sick kid can quickly throw your day off track.

Most of the time, the work I do during the day’s designated block of time isn’t time-sensitive. It’s necessary to keep my business running, but it can wait until the following week if necessary. I also preserve some catch-up time on Friday afternoons if I’m running really behind.

Your themes may also change as your business changes. If you hire help, such as a subcontractor, you may need to set aside time to review their work or touch base. I create a lot of digital resources, so I now have a day theme slot (monthly) to work on those.

Think of all the meetings that occur across different departments in the corporate world. Your day themes are essentially mini-meetings with the different departments in your business to catch up and keep everything on track.
